Everyone sends reminders. Few send them on the day they should have gone out — and that is where the money disappears.

The reminder goes out when someone has time

The reminder run happens when there is room in the calendar — typically once a week, sometimes less often. Every day of delay is a day of longer payment time, multiplied across the entire receivables ledger.

The cadence is arbitrary

One customer gets three reminders, another none. Without a fixed cadence you can neither predict when the money arrives nor document that the procedure is the same for everyone.

No one wants to escalate a good customer

The decision to proceed lands with a person who knows the customer — and gets put off another week. The case is not resolved; it just gets older.

The process

What goes out — and when

A typical process, counted from the day the invoice falls due. You set the cadence yourselves; the deadlines and fees follow the Danish Interest Act and the Debt Collection Act.

    Goes out the same day, with no fee and in a friendly tone, with the same payment link as on the invoice. The vast majority of invoices are forgotten — not refused.

  2. Day 10

    1st reminder

    Sent on your own letterhead and in your own tone. Interest on late payment begins to accrue, and the debtor is charged a reminder fee of DKK 100 under the Danish Interest Act.

  3. Day 20

    2nd reminder

    The law allows three reminders with at least ten days between them. We use all three, because each one is a chance to close the case before it becomes expensive for both parties.

  4. Day 30

    Collection notice

    The last exit. The debtor gets the statutory ten-day deadline to pay and is told precisely what the next step will cost.

  5. Day 40 The deadline has passed

    The case can pass to collection

    Only if it should. You set the amount threshold and decide whether certain customers may only be escalated once you have approved it. If it happens, it is the same case rolling on — not a new one you have to create.

The reminder goes out on your letterhead, in your tone, from your sender. The relationship is yours. The timeliness is ours.

Tone and letterhead are yours

Logo, sender and wording are your own, and you choose whether the tone is friendly or formal. It can differ for different customer segments.

You set the limits

Amount thresholds, cadence and when a case may proceed. Key accounts can be set to require your approval before anything is escalated at all.

An objection stops the automation

If the debtor objects to the claim, another reminder is not sent on top of a dispute. A lawyer from Rieck Advokater assesses it — and you are informed, not put to work.
